Frequently Asked Questions


TO RESERVE:

Please contact CRUISESETTER or your group leader for the cruise’s Registration Form. Fully complete the Form and return it to CRUISESETTER with your payment as per the Registration Form. Reservations and credit card deposits can be made by telephoning CRUISESETTER, and then followed by a completed Registration Form to our office. As space and group pricing is limited on each cruise, please book as early as possible to reserve your participation, and to avoid possibly higher costs.

COST:

Prices are in Canadian dollars, per person, based on double occupancy. All taxes are included and insurance is optional. Price varies according to category of stateroom availability. According to the Travel Industry Council of Ontario, no price increases once final payment is made. Yet, if the total price of the travel services is increased and the cumulative increase, except any increase resulting from an increase in retail sales tax or federal goods and services tax, is more than 7 per cent, the customer has the right to cancel the contract and obtain a full refund.

DEPOSIT & FINAL PAYMENT:

Can be made be either credit card and/or cheque. Deposit amount and balance due date are noted on the Registration Form. Deposit amount along with insurance cost is due 7 days within booking, and if paying by cheque, a second post-dated cheque for the balance. Both cheques or credit card deposit are required with a completed Registration Form to confirm your registration. The “Balance Cheque” will be held by CRUISESETTER and not deposited until due date. Bookings may occur after this date, providing availability, with full payment. Cheques must be made payable to CRUISESETTER. If paying by credit card, your balance payment will be debited from your credit card on the due date. If the credit card sale is declined, the customer will be informed and payment will be considered not received. Verbal authorization of the use of your credit card commits you to your reservation whether or not you have signed a credit card draft. If your final payment is not received by the due date, we reserve the right to cancel the reservation. If a billing error occurred, we reserve the right to re-invoice with the correct pricing. CRUISESETTER reserves the right to pass credit card charges to trip suppliers (ie, cruise lines, airlines, hotels, etc.) and these charges will be noted on your invoice/receipt.

CANCELLATION CHARGES:

Cancellation made prior to 80 days prior to departure is fully refundable minus $100 administration fee. Cancellations made 79-46 days before departure are to receive a 50% refund; 45-31 days before departure are to receive a $500 refund. Cancellations within 30 days before departure are totally non-refundable.

INSURANCE:

As insurance is not included in the price. We strongly recommend the purchase of an insurance package, as per the Cruise Registration Form. Please request the Insurance Certificate from your Group Leader or from CRUISESETTER and read the Terms and Conditions prior to purchase. Purchase of insurance will represent an acceptance by the passenger of all the insurances’ terms and conditions. Insurance prices include all taxes. Insurance prices are subject to change.

PROOF OF CITIZENSHIP:

Canadian citizens are required to carry a valid Canadian passport. Most countries require that your passport be valid for at least six months after the return date of your trip. Depending on one’s citizenship, CRUISESETTER will notify you of any visas that are required. Visa costs are the responsibility of each passenger. It is the responsibility of each passenger to ensure that they have the appropriate travel documentation. The entry to another country may be refused even if the required information and travel documents are complete as travel documentation is subject to change.

FINAL DOCUMENTS:

Approximately 4 weeks prior to departure CRUISESETTER will receive your final documentation from the cruise line and will forward it to you.

SHORE EXCURSIONS:

Approximately 4 weeks prior to departure, you will receive a listing of CRUISESETTER’s shore excursions. Holland America Lines’ shore excursions can be booked on ship or at least 10 days prior to departure at www.hollandamerica.com or by telephone. CRUISESETTER’s shore excursions require a minimum number of participants.

HOME PICK-UP & RETURN TIMES:

CRUISESETTER will arrange a pick-up for you to transfer you to and from the Toronto Airport. You will be notified of the pick-up time 7 days prior to departure. Upon our return in Toronto, a vehicle will return you home. Pick-up and return outside of the GTA may incur an additional surcharge of which you will be notified, if applicable.

FLIGHT:

Carriers and flight times are chosen by considering the quickest and most economical and comfortable flights. Flight times and carrier are subject to change without notice. Once group block is sold, additional seats may incur additional cost.

BAGGAGE:

Checked and carry-on baggage allowances are governed by carrier regulations. You will be notified prior to departure of the carrier’s policy. Overweight and extra baggage and oversized items are subject to additional charge as set by the airline and payment is the responsibility of the passenger. Baggage size and weight are subject to change by the airline.

TRAVELERS WITH SPECIAL NEEDS:

You must indicate any disability or need requiring special attention both at the time of booking and on your Registration Form. CRUISESETTER will make reasonable attempts to accommodate the special need and to do so with our tour suppliers, but it is not responsible in the event it is unable to do so, nor is it responsible for tour suppliers who are unable to accommodate your need. Neither CRUISESETTER nor the Travel Co-ordinator escorting the group are able to provide individual assistance for walking, wheeling, carrying baggage, dining, getting on and off motorcoaches and other vehicles or other personal needs. A qualified and able companion must accompany a traveler who needs assistance and must assume full responsibility for them. Cruise ships have “Accessible Staterooms” and they should be requested at time of booking and noted on your Registration Form.

TRAVEL CO-ORDINATIOR:

A Travel Co-ordinator will escort each group cruise provided there are a minimum number of participants. If the required number of participants is not reached, you will be notified that a CRUISESETTER Travel Co-ordinator will not travel with the group.

NOT INCLUDED IN PACKAGE PRICE:

Prices do not include insurance, optional excursions, fuel surcharges, gratuities, porterage at airports, excess baggage fees, personal purchases, laundry, telephone, mini bar, alcohol, beverages, food not on the regular table d’hote menu, passport, visas & vaccinations and all other items of a personal nature.

LIVING STANDARDS:

Living standards and practices at the destination and the standards and conditions there with respect to the provision of utilities, services and accommodation may differ from those found in Canada.

Those used in this brochure should be viewed solely as an indicaiton of sights, attractions and facilities. Actural sights, attractions and facilities may vary according to availability.

RESPONSIBILITY:

Responsibility of CRUISESETTER acts solely as organizer of this tour outlined on this flyer and is responsible for making all reservations and charting the routes as outlined but it is expressly understood and agreed between the tour organizer and the passengers that CRUISESETTER or its agents shall not be held responsible for: a) non-performance on the part of any hotel or other accommodation for any act or omission that cannot be directly attributed to the neglect of the tour organizer; b) any delays, missed connections, loss, damage or injury to persons or property or for mechanical defects or failure, however caused for any substitution of hotels or carrier equipment beyond the control of the tour operator, or for any additional expenses occasioned thereby: c) any inconvenience, loss of enjoyment, upset, disappointment, distress or frustration whether physical or mental however caused, except where caused directly by the tour operator; d) any additional costs incurred or any ancillary loss sustained as a result of cancellations or delays of tour caused by inclement weather conditions, acts of God, or any other event, which result in one or more persons being unable to continue or complete the tour through no direct fault of the tour organizer. The tour organizer reserves the right to make any changes before or during the tour for the comfort and enjoyment of the passengers and its agreed and understood that may increase in costs occasioned by such change shall be paid by the passengers. All tour itineraries are subject to change or cancellation without prior notice. CRUISESETTER shall have no responsibilities beyond their refund of all monies paid by the passenger which is deemed to constitute full settlement. The tour organizer reserves the right to decline any person as a member of the tour at any time before or during the tour should such person’s presence be considered detrimental to the interest, comfort and enjoyment of the other tour members. Persons leaving the tour during operation will not receive a refund or unused services. CRUISESETTER, its agents and all passengers agree that the conditions set out herein are part of the terms between the passenger and the tour organizer. Acceptance of the ticket for the tour or any deposit given to the tour organizer will represent an acceptance by the passenger of all the aforementioned conditions.
